Versioning of forms

The versioning of RoPA forms is essential because it ensures the legal value and reliability of the official record.

➡️ Without versioning, a RoPA is not truly official nor enforceable.

Versioning process:

  1. The V1 form is published in the RoPA
  2. The “New version” action automatically creates a V2 draft.
  3. Editing and validating V2
  4. The “Publish” action replaces V1 with V2 in the RoPA.
  5. V1 is automatically archived and remains accessible in the history.

From the list of processing activities, you can display all versions of a form:

  • Display the archived forms to view the previous versions.
  • Ajoutez les colonnes Version and Version ID.
    • Le Version ID suit la structure : ID d’origine + “.” + numéro de version.
    • Exemple : 123.2 = deuxième version de la fiche dont l’ID d’origine est 123.
  • Filter by the original ID to display all versions of the same form.

From each form, a version and status indicator is always visible in the toolbar.

  • It immediately indicates the version you are working on and its status.
  • You can open the other versions with a single click.

In the Info tab, you will find:

  • all the version and status information,
  • as well as the full version history, including the reasons for review when provided.
