Actions or Activities

The module Action (or Activities) allows you to plan individual or collective tasks and to track and document your compliance activities. You can define priorities, share documents and trigger email reminders.

It enables you to demonstrate your accountability by ensuring the traceability of completed and planned actions.

Actions may include, for example:

  • awareness sessions;
  • processing activity audits;
  • security-related actions;
  • retention period management;
  • and, more generally, any action required as part of your compliance process.

Each user only has access to the actions that concern them. These may be actions assigned to their organizational scope (entity or unit), actions for which they have been designated as a participant, or actions they have created.

Create and link actions

The following page explains how actions work, including the ability to link them to records from other modules, such as processing activities, data subject requests, data breaches, third parties, etc.

Each action can be linked to one or more Provacy objects.

Action plans based on assessments

Provacy also allows you to create action plans based on assessment fields. “Non-compliant” and “Partially compliant” responses are grouped in a list to provide a clear overview of the actions to be taken.

This feature is available for modules that include assessments:

  • Processing activities;
  • PIA;
  • AI Systems;
  • Anti-Corruption (Sapin II).

Monthly activity tracking

The Monthly Activity Tracking view allows you to monitor activities based on several criteria: month, entity, unit, workload, etc. This view is available for certain roles. To request its activation, contact Provacy Support.

Worklaod

For each action, the user can record the time spent completing it. This optional feature allows you to track the workload associated with activities in the Monthly Activity Tracking view.
